New Groove Creative Terms & Conditions January 2025
Communication & Information Updates
I agree that all New Groove Creative communication is sent via email and mobile communication, including WhatsApp.
I agree it is my responsibility to ensure that the New Groove Creative office has up-to-date email addresses and mobile telephone numbers on file.
I agree to keep all information correct and up to date on Class Manager.
I agree to be responsible for reading all correspondence and respecting any deadlines. In the event that New Groove Creative needs to cancel a class, I understand that I will be contacted via email and the class WhatsApp group. Please check your emails (including junk) and/or social media channels prior to coming to class.
Behaviour & Community Standards
New Groove Creative is an anti-bullying community. Bullying will not be tolerated and will result in membership cancellation.
Students agree to be respectful to others. Unacceptable language or behaviour will not be tolerated and may also result in membership cancellation.
Payment Terms
I understand that all payment processing through Stripe will follow secure industry standards, and I agree to set up recurring payments as part of my membership.
I understand that New Groove Creative will be using a well-respected third-party company, Stripe, to collect payments.
I am signing up for a monthly ongoing membership; I agree to provide one month’s written notice via email to ellie@newgroovecreative.com if I wish to cancel my membership.
Tuition is calculated based on the complete New Groove Creative experience across 12 monthly instalments. Fees account for termly closed weeks and are split evenly over 12 months for smaller, consistent monthly payments. Payments must be made every month, even when classes are closed for termly holidays.
I understand that the only way to guarantee my place in a class on a rolling basis is by paying via monthly direct debit, even if I am unable to attend for some weeks.
Should a class be missed due to illness or holiday, I will contact Ellie on 07456400307 or via email at ellie@newgroovecreative.com. Classes cannot be made up.
Refunds for missed classes will not be provided unless there is a long-term sickness/injury or if New Groove Creative has canceled a class and I am unable to attend a makeup session.
Class Cancellations & Makeup Classes
If New Groove Creative needs to cancel a class, a makeup class will be arranged. Alternatively, I may book a makeup class of my choice, subject to availability and the appropriate level.
Student Supervision
I will ensure that my emergency contact information is accurate and up to date. In addition to a New Groove Creative teacher’s contact (not just Ellie), I understand that a secondary emergency contact number is recommended for administrative records.
I agree that New Groove Creative takes no responsibility for students signing in early for classes. Students are in the care of New Groove Creative during scheduled class times only, from when they enter until they leave the studio.
Parents/guardians are expected to collect students under the age of 16 on time at the end of the session. If a student needs to be released without a parent/guardian present, a signed letter must be provided to New Groove Creative staff before the lesson.
Health & Safety
I give permission for the New Groove Creative class teacher to administer first aid and seek non-urgent and urgent medical treatment for the student.
In an emergency, parents/guardians will be contacted after emergency services have been notified. I support the New Groove Creative team in acting to the best of their professional judgment in such situations.
I declare any physical, mental health problems, restrictions, or conditions and affirm that the student is in good physical and mental health.
I understand that as with any physical activity, dance/fitness/performing arts classes involve a degree of risk of strain/injury. I do not hold New Groove Creative or any individual working on its behalf responsible for any injury howsoever caused.
Physical Contact Policy
I agree to New Groove Creative’s policy on physical contact. Touch may be essential for creative interpretation, directing movement, correcting placement, encouraging performance, and providing comfort. Staff will be sensitive to a child’s reaction to physical contact and act appropriately.
Teaching Methods & Class Management
I understand that classes may include a range of teaching methods and subject-related activities.
I agree that I am paying for the complete New Groove Creative experience, not for a specific teacher. Therefore, in exceptional circumstances, such as staff sickness, I agree that classes may be led by another teacher of an equally high standard.
Personal Property
I understand that New Groove Creative is not responsible for personal property. Lost property will be held for 28 days before being donated to charity.
Media Consent
I understand that I can opt out of media consent by submitting a written request to New Groove Creative’s office.
I give New Groove Creative permission to use photographs and video clips of the student participating in classes and activities for publicity, including the website, social media, posters, and flyers.
Core Values
I agree to uphold the New Groove Creative values at all times: Passion & Positivity, Energy, Nurturing, Gratitude, Mindfulness, Creativity, Integrity, Fairness, Performance, Confidence, Accountability, Equality, and Fun.
I agree to respect these values during my experience at New Groove Creative.
Health & Safety Clause (Including COVID-19 and Other Health Considerations)
If a student sustains a long-term injury, I will promptly inform New Groove Creative to discuss any potential tuition adjustments or class accommodations.
I agree that my child will not attend classes if they display symptoms of any contagious illness, including but not limited to COVID-19, flu, or other respiratory infections.
Students are encouraged to use hand sanitiser before and after class.
Students are expected to follow hygiene practices, including the 'catch it, bin it, kill it' policy for coughs and sneezes.
Refunds will not be provided if a student needs to isolate due to illness. In cases of prolonged illness, please contact Ellie to discuss possible options.
New Groove Creative’s health and safety procedures may differ from Government guidance due to the small nature of the business. I agree to respect these procedures, and failure to do so may result in membership termination.
